What do you handle when you run my payroll?

We handle every piece of payroll from calculating pay to filing the returns. You approve hours and we take it from there.

Each pay period, we calculate gross pay based on hours worked, salary, commissions, or whatever compensation structure you have. For hourly employees, that includes overtime at time and a half when they go over 40 hours in a week. We calculate the correct withholdings for federal income tax, Social Security, Medicare, and your state’s income tax. If you have employees in multiple states, we handle the withholding for each one.

Once we calculate the payroll, we deposit the taxes with the IRS and the state on the required schedule. Most small employers deposit monthly or semi-weekly depending on their total tax liability. Miss a deposit deadline and the IRS charges penalties immediately, so we track the schedule and make sure deposits happen on time.

Employees get paid by direct deposit on your chosen pay date. We generate pay stubs showing gross pay, all withholdings, and net pay. Your employees can see exactly what came out and why.

Every quarter, we file Form 941 with the IRS reporting wages paid and taxes withheld. We also file the state equivalent in Massachusetts or whatever state your employees work in. These filings reconcile what you’ve deposited against what you owe. Full-service payroll means we handle these for you, so you never have to log into EFTPS or the state portal yourself.

At year end, we file the annual payroll returns and produce W-2s for every employee. These go to your employees by the January 31 deadline and get filed with the Social Security Administration. If you have contractors you’ve paid $600 or more, we prepare and file their 1099-NEC forms as well.

Starting in 2026, the IRS requires separate tracking and reporting of qualified tips and overtime pay. This affects restaurants, salons, and any service business with tipped or hourly employees who work overtime. We track this information through the year and include it on the required forms, so you don’t have to figure out the new requirements yourself.
